The user of your data is:

  • The medical society of Brighton and Sussex Medical School.
  • Otherwise known as BSMS MedSoc
  • Website address: www.bsmsmedsoc.co.uk

The basis for collecting data

The following data is collected:

  • Username
  • First name
  • Last name
  • Graduation year
  • University e-mail address
  • University student number (used for elections only)

This data is collected to allow registration and membership of the BSMS MedSoc website. Membership of the BSMS MedSoc website allows the user to participate in elections, read meeting minutes and finance reports that are not publicly available.

When is personal data collected

When a member registers on the BSMS MedSoc website at: www.bsmsmedsoc.co.uk/register. Including:

  • Username
  • First name
  • Last name
  • Graduation year
  • University e-mail address

When a member takes part in elections. Including:

  • University email
  • Student number

Retention of personal data

Data is held indefinitely until:

  1. The user has graduated, as determined by the graduation year. The student will remain on the system for one year following graduation (to allow for resits). At which point the user and all data associated with them will be deleted*.
  2. The user deletes their own account. At which point the user and all data associated with them will be deleted*.

*Data from elections is anonymised and then kept for a period of five years.

Disclosure and transfer of personal data

We will only disclose your personal data to a third party when we are required to by law, where we have your specific consent, or where appropriate arrangements are in place with regard to data sharing – for instance:

  • Brighton and Sussex Medical School
  • Professional and regulatory bodies in relation to confirmation of qualifications, professional conduct and the accreditation of courses
  • Legal representatives

Your rights including access to information and correction

You have a number of rights under the General Data Protection Regulation, including the right:

  • To rectify inaccuracies in personal data that we hold about you
  • To be forgotten in some circumstances, that is your details to be removed from systems that we use to process your personal data
  • To restrict the processing of your personal data in certain ways
  • To obtain a copy of your data in a commonly used electronic form
  • To withdraw consent where that is the legal basis of our processing
  • To object to certain processing of your personal data by us.
